Expense Reimbursement
Meridian will book and pay for two nights of lodging and meals during the workshop including: dinner on Monday, 7 October; breakfast, lunch, and dinner on Tuesday, 8 October; and breakfast and lunch on Wednesday, 9 October. If you plan to depart on Thursday, 10 October Meridian will cover dinner and lodging on Wednesday, 9 October, and breakfast on Thursday, 10 October. A reasonable cost for meals in transit will be reimbursed with documentation.
If you incur expenses for meals or ground transportation during your travel, please save your receipts and follow these steps to request a reimbursement:
- Complete this reimbursement form
- Complete this international wire transfer form if you are based outside the USA.
- Compose an email to aeddy@merid.org with the subject line: “[YOUR LAST NAME]_HLAG Request for Reimbursement“
- Attach your completed reimbursement form
- Attach clear copies of your convening-related receipts
- Submit by your form and receipts by 18 October 2024

Transportation
Flights
If you have not yet booked your flight, please do so at your earliest convivence. Contact Ali at aeddy@merid.org if you require support.
Ground Transportation
Meridian has arranged group shuttles from the airport to Casale Doria. Upon your arrival at FCO, a designated driver will be awaiting you at the front of arrivals, holding a sign with a Regen10 Logo. All drivers are well-informed about your arrival time and flight number.
The driver will have a sign showing the Regen10 logo , he will be waiting at the airport outside customs at the meeting point. Should you have problems with luggage or finding the driver please call: Andrea +39 3931754666
If you are based in Rome, a car has also being arranged to pick you up from the city center. Ali will follow up with you individually for this.

FAQ
What meals are included at the convening?
Aperitif and Dinner on Monday, 7 October; breakfast, lunch, and dinner on Tuesday, 8 October; and breakfast and lunch on Wednesday, 9 October will be provided. For those staying an additional night dinner on the 9th and breakfast on the 10th will be provided. For those who wish to have pre-dinner drinks on the 8th or 9th, the first drink may be charged to your room, and any following will be paid by yourself.
For those arriving a day early or staying a day extra, Casale Doria has a restaurant/bar where you can order food. Check out their menu here.
What should I pack the convening?
To ensure comfort and safety during the trip, please review the recommended packing list:
- Passport and Visa: Ensure you have your passport and any necessary visas for your trip.
- Power Plug Adapter: Bring an EU power plug adapter to charge your electronic devices.
- Field Visit Footwear: Bring shoes suitable for walking on a farm, which will provide comfort during an outdoor walk, and are okay to get dirty.
- Reusable Water Bottle: Carry a reusable water bottle to stay hydrated, there will be water refill locations at the hotel & meeting venue.
- Business Casual Clothes: Pack business casual attire for your Monday, Tuesday and Wednesday meetings. This may include dress shirts, blouses, slacks, skirts, and footwear. Most important is comfort!
- (Optional) Bathing Suite: Casale Doria has a swimming pool, which if you would like, you are welcome to use!
